Voice AI: answers the phone when you can't | Apilon AI
Voice AI

Your phone, answered. Even when you can't.

Voice AI picks up the calls your team can't get to: after hours, when every line is busy and when you're with a customer. It says it is an AI, answers what you have approved, books appointments in your calendar and passes anything urgent to a person.

The number +1 888 420 9449 goes to our English demo agent.

  • It says it is an AI in the very first sentence.
  • Backup for your team on the phone, not a replacement for people.
  • Data processing agreement in place before it takes its first call.

Six kinds of calls it takes care of.

Clinics, contractors, service companies, restaurants and advisors share the same problem: the phone rings while you're doing the actual work. You choose when the agent steps in and what it is allowed to handle on its own.

After hours

People often call when they are off themselves: in the evening, early in the morning and on weekends. The agent takes the call, answers what it can and books an appointment, so the request is waiting for you when you get in.

Appointment booked

When everyone is busy

You're with a customer, out on a job or in the middle of the rush. Calls that would otherwise just ring out get answered, and the customer gets a real conversation instead of a voicemail.

Call answered

Booking appointments

It checks your calendar, suggests open times and adds the appointment right away. The customer gets a confirmation, and you can see the appointment without anyone typing it in afterwards.

Urgent calls go to a person

You decide what counts as urgent for your business. When a call matches that description, the agent transfers it to whoever is on call, or sends an alert right away with a short summary.

Transferred to a person

Messages to the right person

If the customer wants to talk to a specific person, the agent takes their name, number and reason for calling and passes the message on, so you can call back without first having to work out what it's about.

Message passed on

It's not there to replace anyone on your team. It's there to take the calls that otherwise don't get answered, and to pass the rest to a person.

Control

You decide what it can do. And you see everything it does.

An AI that talks to your customers has to hold up under close inspection. That's why these four things are in place before it takes its first call.

  • It says it is an AIIt's the first thing the customer hears, and it says it again if anyone asks. It never pretends to be a person.
  • A person takes over when it mattersYou set the rules for what goes to a person. When a call fits them, it transfers the call to whoever is on call, or sends an alert right away.
  • Data processing agreement firstThe agreement is signed before the agent is on your number. It only gets access to what you give it access to, for example your calendar.
  • Every call is loggedYou can see the time, what the call was about, what the agent answered and what happened afterwards. Not a black box.

Do the math

What are your unanswered calls worth?

We don't know your numbers, so we won't guess them. The sliders start on placeholder values, not averages. Put in your own and see what the unanswered calls could be worth in a month. It's your own estimate, not a promise from us.

  • Calls per weekLook at your phone's list of missed calls in a completely ordinary week.
  • Order valueWhat a typical customer, booking or job is worth to you the first time they buy.
  • Share that become customersHow many of the people who call in usually end up buying something.

How we work

Four steps from first meeting to live.

You don't have to set anything up yourself. We build it, test it and look after it afterwards. You approve what it is allowed to say before it takes a real call.

  1. 01

    Meeting

We talk about when your phone rings the most, what customers usually ask about and what always has to go to a person. You get a proposal for how it can be set up and what it costs.

  2. 02

    Setup built around you

We build the agent on your services, opening hours, calendar and the way you talk to customers. We agree on when it answers the phone, what it can answer on its own and what gets transferred.

  3. 03

    Testing

We run it through the situations you actually deal with, and you call it yourself before it takes a single customer call. The data processing agreement is signed before go-live.

  4. 04

    Live, with ongoing adjustments

It goes on your number, and you can start with after hours only. We follow the calls, fix what isn't quite right and update it when something changes on your end.

Built for you, ready to run. Not software you have to look after yourself.

There are platforms where you can build a voice agent yourself. It can be done, but it takes someone on your team with time for it every week. That is not how we work.

Self-serve platform

  • You write the scripts, rules and knowledge base yourself.
  • You test and troubleshoot on your own.
  • You update it every time prices, hours or services change.
  • Help through a support form when something acts up.

Apilon AI

  • We build it on your services, tone and rules.
  • We test it on real scenarios before it goes live.
  • We follow the calls and adjust when something isn't right.
  • You have one contact with us who knows your setup.

What you are probably going to ask.

If your question is not here, bring it to the meeting. We would rather answer specifically about your setup than in general.

Book a call
Do customers know they are talking to an AI?
Yes. The agent says so in the first sentence of every call, and again if anyone asks. That is a fixed rule for us on every setup, not a setting you switch on. If the customer would rather talk to a person, they just say so.
Is it meant to replace our staff on the phone?
No. It is backup and overflow. It takes the calls you can't get to: after hours, when every line is busy or when you're with a customer. You decide when it steps in, and you can start by letting it answer only outside opening hours.
What does it do if it can't answer?
It says so. It doesn't guess at prices, times or promises. It takes a message or transfers to a person under the rules you have set up, and the question goes into the summary, so whoever calls back knows exactly what it's about.
Can we keep our current number?
Yes. You don't change numbers. We set up call forwarding so calls go to the agent in the situations you choose, for example after hours or when nobody picks up within a set number of rings.
Which calendars and booking systems can it use?
Most calendars and booking systems can be connected, as long as they can be reached from outside. Tell us what you use and we will sort it out in the first meeting. If there is no direct connection, the agent takes the booking request and passes it on, so you can add it in a minute.
What does it sound like?
It speaks English at a normal pace, so the conversation feels like an ordinary phone call. It is an AI, and it says so from the start. To hear it, call +1 888 420 9449. The number goes to our English demo agent.
What about privacy and call data?
We sign a data processing agreement with you before anything goes live. The agent only gets access to what you give it access to, and every call is logged with time, summary and outcome, so you can see what happened. You also decide how long the data is kept.
What does it cost?
It depends on how many calls it needs to take and what it needs to connect to. That is why we set the price after the first meeting, once we know your setup. The meeting is no-obligation.

Call and hear it yourself.

Call our English demo agent and hear how it sounds and how it answers. Then we meet and go through what it should handle for you, when it should answer the phone and what always has to go to a person.
